Square crops behave differently from passport rectangles. You must leave balanced space on the left and right while still keeping the face large enough to recognize. Centering is critical: if the subject sits too low or too high, automated ID printers and profile avatars can look wrong.
Use a neutral background and natural expression unless the issuer requires a formal pose. Avoid heavy beauty filters that reshape the face. After download, check the square at thumbnail size—the size most people will actually see on a card or dashboard.

A plain neutral wall works better than patterned wallpaper or outdoor scenes. Clothing that contrasts gently with the background helps the silhouette stay clear after compression. Very dark jackets on dark walls can merge into one blob at small sizes.
At 300 x 300 pixels, reaching 100 KB with JPG is usually easy. Prefer a clean original and moderate quality over aggressive compression. Use PNG only when the portal specifically requests it or when you need sharper edges for a graphic rather than a photo.
Use it for campus IDs, sports memberships, learning platforms, and HR profile photos that ask for a square upload. If the issuer prints physical cards, ask whether they also need a higher-resolution version for print—even when the online form accepts 300 x 300.
