Online application portals often enforce strict image rules. A passport photo, exam photograph, signature scan, identity document, or payment receipt may need exact pixel dimensions, a fixed file type, and a small maximum file size. This guide explains how to prepare those files carefully before you upload them.
Before editing, read the upload instructions on the official form. Look for the required width, height, file size, format, background color, and whether the portal asks for a recent photo or a scanned signature. Many forms use similar labels, but the numbers can be different. A recruitment portal may ask for a 200 x 230 pixel photo under 50 KB, while a scholarship or visa form may require a larger image with a white background. Enter the exact values from the form instead of guessing.
Cropping changes the visible area of the image. It removes extra space from the top, bottom, or sides so the subject fits the required frame. Resizing changes the final pixel dimensions after the crop is chosen. If you resize first and crop later, the important part of the image may become too small or uneven. For profile photos, place the face in the center, keep the head and shoulders visible, and avoid cutting the hair, chin, or signature strokes. For document scans, keep all four edges readable and do not crop out seals, dates, or reference numbers.
Aspect ratio is the relationship between width and height. A square image uses a 1:1 ratio, while a 200 x 230 pixel photo is slightly taller than it is wide. If the final ratio does not match the portal requirement, the upload system may stretch the image, reject it, or display it with unwanted borders. Use the crop frame as a guide: make sure the subject fits inside the required shape before processing the file. This is especially important for exam admit cards, passport-style photos, visa applications, and online identity verification.
Compression reduces file size. Lossless compression keeps the same visual details but usually produces a modest reduction. Lossy compression removes some detail to make the file much smaller. JPEG images usually use lossy compression, which is why they are common for photos and application forms. PNG is useful for screenshots, line art, and signatures, but PNG files may be larger. When a portal asks for a file under 20 KB, 50 KB, or 100 KB, a small amount of lossy JPEG compression is often the practical choice. Always open the downloaded file and confirm that the face, signature, or document text is still clear.
Use a clear original image with good lighting. Avoid heavy filters, screenshots of photos, and images forwarded through messaging apps because those copies may already be compressed. Upload the original file, select the required preset or enter custom dimensions, adjust the crop around the face, then set the file-size target. Download the result and compare it with the portal checklist before submitting. If the output looks blurry, start again from a higher quality original rather than repeatedly compressing the same downloaded file.
Signatures are usually wider than they are tall, so a tight crop is important. Write on plain white paper with dark ink, take the photo in even light, and crop close to the signature while leaving a small margin around it. For certificates and identity documents, keep the page flat and avoid shadows across the text. If a document has important details near the edge, leave enough border so the upload portal does not hide them in its preview. The goal is not only to pass the file-size rule but also to keep the uploaded proof readable.

Open the image at normal viewing size and confirm that it is not sideways, stretched, too dark, or missing important information. Some portals show a preview after upload; inspect that preview carefully before final submission. If the portal rejects the file, note the exact message. It may be asking for a smaller KB value, a different format, or a different width and height. Adjust one requirement at a time and process again from the best available source image.
